SUMMARY
THE BATES TECHNICAL COLLEGE Program Contact (PC) of the Early Achievers Grant (EAG), will be the main contact for students, faculty and staff regarding any questions or information needed regarding the grant.
The PC’s main responsibility is to recruit, advise, enroll, retain, and provide services to all students served under the grant.
The PC will be the liaison between the EAG student and the college and will provide expertise to answer and resolve any students’ questions and concerns.
The PC will also work closely with other staff members to ensure the proper function and operation of the EAG.
First consideration will be given to candidates who apply prior to May 6, 2024.

Salaries at the top of the range are earned through longevity.
Annual starting salary is $62,900 to $67,565 depending on experience.

ESSENTIAL FUNCTIONS & OTHER DUTIES Recruitment Develop partnerships with provider organizations in the area to be aware of and responsive to community needs.
Communicate those needs to relevant faculty, staff, and administrators at the college.
Recruit a pool of potential grant recipients from family home childcare businesses, childcare centers, ECEAP and Head Start programs that reflect the diversity of the local provider community and the children they serve.
Attend regional meetings offered in partnership with the Department of Children, Youth, and Families.
If unavailable, a representative from the college will be sent in their place.
Maintain a waitlist of potential EAG students not yet able to access the grant due to limited funding.
Implement practices that promote educational access, meeting the needs of BIPOC providers, providers of various learning languages, and geographical locations.
Create and distribute advertising material to disseminate information about the EAG to the community.
Respond to all potential students’ inquiries about the EAG and ECE program.
Enrollment Provide accurate information regarding updating residency status at the college.
Manage the Education and Registry Information Tool (MERIT).
Update and maintain student records.
Assist students with enrollment and registration.
Advising Provide accurate information to students about the Early Achievers Grant program, Washington's quality rating and improvement system (QRIS), Career Portal, and pertinent WACs.
Provide accurate information about the college’s grant application process, including student eligibility, student consent to data sharing, and waitlist status.
Provide accurate information about the college's admission requirements and processes, financial aid forms, student placement assessments, registration procedures, college academic standards and procedures and student services provided to potential Early Achievers Grant recipients.
Provide information about financial aid, assist students with completion of forms, and coordinate the development of financial aid packages for each student according to their needs.
Help students plan their college program and course schedule customized to the needs of each student.
Assist students in filling out Worker Retraining and FAFSA applications and sending paperwork to appropriate departments.
Communicate with students regarding their Student ID number, Bates email, and inform students of CTC Link and Canvas sign-in process as well as other information regarding IT issues, beginning of quarter information, Resource Center hours and tutoring information, etc.
Assist students with placement testing and signing up for the appropriate math, English, and general education courses.
Ensure students are register on the following quarter to continue towards their education goal.
Review students grades and plans of study to ensure students are on track and obtaining the proper credentials.
Periodically meet with students to discuss academic standing, financial aid concerns, academic warnings, etc.
Work closely with college staff and students to create an action plan for the student to overcome the challenges.
Retention Responsible for managing a caseload of students.
Coordinate prior learning assessment and the awarding of credits and credentials as requested by the student.
Communicate with ECE faculty, advisors, and members of the financial aid office regarding students' needs and to support student success.
Coordinate wrap-around support services such as tutoring, mentoring, study groups, eLearning workshops, or emergency assistance as needed.
Contact all grant recipients each quarter.
Track and discuss their progress, deploy support services as necessary, and assist with planning their course schedule for the following quarter.
Verify student employment and center eligibility through MERIT and track student academic standing.
Assist students with any other issues that may arise related to the Early Achievers Grant program.
Track student completions using transcript reports or other tools and assist students as they submit certificate and degree applications.
Assist students in documenting their education in MERIT.
Complete waivers and submit them to the EAG manager at the State Board as needed in order to support students' continued progress toward their goal.
Administrative Work with finance to maintain an accurate budget to ensure existing students will be able to continue progress towards their goals for the duration of the funding year.
By each due date, complete and submit reports to the State Board for Community and Technical College’s (SBCTC’s) Grant Manager.
This includes the ECE Course Schedule.
Prior to finals each quarter, consult with the registrar's office to ensure all EAG students are coded according to the SBCTC coding manual.
Distribute and facilitate completion of quarterly EAG Student Survey.
Attend quarterly Point-of-Contact meetings organized by the SBCTC.
If unavailable, a representative from the college will be sent in their place.
Complete appropriate tuition/book/misc.
payments forms.
Assist students with ordering and purchasing books.
Contact students to coordinate pick-up and delivery options for course materials and books.
Manage each student’s book budget for the quarter/year.
Create and maintain inventory of available technology available to the students.
Non-Essential/Other Functions Support college student achievement practices to ensure student retention, completion,?and progression.
Participate actively and collaboratively with College Student Services and program advisory committees to maintain student job placement records.
Accountable for keeping personal development up-to-date; adding to skills and knowledge through courses that may be available through the Bates Technical College courses, professional development committees, etc.
