Job Purpose Maintains intake activities, including managing the waiting list to receive shelter services, ensuring shelter guests meet the required qualifications to enter the shelter program, supporting the intake and moveout cycle by monitoring shelter capacity, managing room turnover, and working with case management.
Shares the responsibility to maintain a safe, clean, hospitable, and dignifying environment for all guests and residents; assisting in the provision of trauma-informed, person-first, and grace-based program services to meet the need of all who seek TRM’s care.

Helps create a safe space for Team Members to hold others accountable for behavior and performance, empathetically listens and communicates for understanding when negotiating and dealing with conflict.
Setting the standard of quality, providing staff with feedback, coaching, guidance, and support.
Essential Duties & Responsibilities Greets all guests, residents, volunteers, donors, and team members warmly, creating a welcoming environment that fosters healthy relationships.
Completes intake procedures and all necessary assessments with new guests, providing them with appropriate resources.
Creates new Apricot profiles and ensure all clients intakes are logged into the Apricot database.
Scans intake forms to Data Management Team for Apricot & HMIS Enrollment.
Maintain complete, accurate, and organized cot client files for each household.
Delivers cot client files to case manager when client transfers to room.
Maintain daily tracking list including compiling the waitlist information, scheduling potential intakes, and creating monthly tracking list spreadsheet.
Oversees all shelter endeavors, ensuring rules and shelter protocol are being followed and all shelter residents are comfortable and safe.
Fulfills all reasonable requests from residents, ensuring their comfort and satisfaction.
Completes walkthroughs of the shelter and campus at least every two hours certifying the shelter property and all its inhabitants are safe.
Continually researches, gathers, and gains knowledge of community services and resources to assist shelter residents and guests.
Answers incoming telephone calls, assisting callers as needed and routing them to the relevant parties.
Receives donations on behalf of TRM and provide donors with receipts as requested.
Performs general cleaning tasks, to include daily laundry, emptying trash, sweeping, mopping, vacuuming, wiping down and sanitizing hard surfaces, etc.
Enters resident data into HMIS and Apricot systems daily.
Records daily happenings into the Shelter Generalist Shift Log, keeping all team members up to date on occurrences, potential hazards, requests met, etc.
Collects shelter supplies, organizes, stocks, and maintains inventory, informing management of needed items.
Completes incident reports and work requests as needed and informs management.
Performs turnover of resident quarters (unit/bed), cleaning and sanitizing the area and doing all necessary laundry.
Performs regularly scheduled unit/dorm checks.
Maintains resident confidentiality, properly storing and disposing documents per TRM standard.
Administer urinalysis and breathalyzer tests for shelter guests as needed.
Performs other duties as assigned to support others and ensure an efficient and effective work environment.
Working Conditions Interacts in a relational manner with people from diverse backgrounds.
Office environment with light custodial duties.
Schedule & Work Location Schedule: Monday - Friday 9am - 5pm Primary Location of Work: Adams Family Shelter Requirements: Associate degree in Social Services or a related field or equivalent working experience.
Experience working with or serving alongside marginalized communities.
Basic operating knowledge of office equipment, computers, and Microsoft Office Suites.
Good clerical skills, with exceptional attention to detail.
Effective de-escalation skills and ability to maintain a compassionate and positive attitude.
Ability to work in and effectively respond to a fast-paced, high-stress environment with little supervision.
Capacity to accomplish multiple tasks within a short time.
Skilled in clear and effective written, verbal, and electronic communication.
Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment using effective and thoughtful interactions and communication.
Physical Requirements Stationary position 50% of the time.
Occasionally moves about inside the office to access file cabinets, office machinery, etc.
and responds to urgent situations.
Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
Communicates information and ideas so others will understand.
Exchanges accurate information in these situations.
Observes details at close range (within a few feet of the observer).
Frequently moves boxes weighing up to 25 pounds across office for various needs.
Wears proper PPE (personal protective equipment) when necessary for exposure control.
